Privacy policy

Who we are

O.W. Loeb & Co Limited is responsible for the personal information it uses to run its business. For privacy questions or to exercise your rights, email orders@owloeb.com or write to Milton Gate, 60 Chiswell Street, London EC1Y 4AG, United Kingdom.

Information we use

We use the information you give us when you enquire, order, create an account or contact us. This can include your name, contact details, billing and delivery addresses, order history, correspondence and preferences. In-bond orders also require receiving-account and warehouse details.

We receive payment confirmations, relevant delivery information and, where checks are carried out, age-verification or fraud-prevention results from service providers. Payment-card information is handled by the payment provider; please do not send card details by email.

Our shop also collects technical information such as IP address, browser and device details, and information about how you use the website. Cookie controls govern technologies that require your consent.

Purposes and lawful bases

We use order and contact information to respond to requests, enter into and perform our contract with you, process payments, arrange delivery and handle returns.

We use records where necessary to comply with legal obligations, including tax, accounting and applicable alcohol-sale requirements. For security, fraud prevention, debt recovery and the management of disputes, we may rely on our legitimate interests, balanced against your rights. Where processing is required by law instead, that is the basis we use.

For email marketing, we use consent where required or the permitted existing-customer rules for our own similar products, with an opportunity to opt out when details are collected and in each message. You can unsubscribe at any time without affecting order-related communications. Where we rely on consent, you can withdraw it without affecting the lawfulness of earlier processing.

If you do not provide information needed to fulfil an order or complete a required check, we may be unable to proceed. Optional marketing choices are not a condition of buying from us.

Sharing and Shopify

We share relevant information with our online-store, payment, IT, communication, security, warehouse and delivery providers to provide their services. We may also share information with professional advisers and public authorities where necessary and lawful. If you nominate a gift recipient or receiving warehouse, we use the details supplied to arrange and confirm delivery.

Our online shop is hosted by Shopify. Shopify also uses information about interactions with our shop, other merchants and its services to provide enhanced services, which may include personalisation, analytics and advertising. Shopify may act as a controller for some of that processing. Its Consumer Privacy Policy explains its own uses and rights arrangements: https://www.shopify.com/legal/privacy/consumers. Its privacy portal is https://privacy.shopify.com/.

Overseas processing

Some providers process information outside the UK. Where a restricted transfer occurs, the relevant safeguards may include UK adequacy regulations or approved contractual protections. You can contact us for details of the safeguards applying to your information and how to obtain a copy.

How long we keep information

We keep transaction and accounting records for the applicable statutory period, generally six years after the relevant financial year, and longer where required for a dispute or other legal obligation. Enquiries and customer-service records are kept for as long as needed to deal with the matter and related claims. Security records are retained according to the risk they address. We retain a limited record of marketing objections so that we can respect them.

Your rights

Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information. You can object to processing based on legitimate interests and have an unconditional right to object to direct marketing. These rights have legal limits, which we will explain where relevant.

Please contact orders@owloeb.com. We may need proportionate information to confirm your identity before disclosing personal information. You can also complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/.

We review this notice as our services change and will explain material changes where appropriate.
